Overview

HaloAgents gives you full control over how outbound emails appear to your customers. You can configure a default from address, choose how each teammate’s replies are sent, and set up a separate address for AI agent emails. All sending settings are managed in Settings > Emails > Email Settings.

Default from address

The default from address is used when sending replies from the inbox. Select any email address that has been added and verified on the Domains & Addresses tab.
  1. Go to Settings > Emails > Email Settings
  2. Under Default from address, select an address from the dropdown
  3. All outbound replies will use this address unless overridden by the reply-from behavior

AI agent from address

AI agents can send automated emails to customers (e.g., follow-ups, responses to email tickets). You can configure which address AI agents send from — this can be the same as your default address or a separate one.
  1. Go to Settings > Emails > Email Settings
  2. Under AI agent from address, select an address from the dropdown
  3. AI agents will send from this address when responding to email tickets
Common setups include using [email protected] for both, or using a dedicated [email protected] for AI agent emails so customers can distinguish between human and AI responses.

Reply-from behavior

Choose how the “From” field appears on outgoing replies. This is a workspace-level setting that applies to all team members.

Teammate address mode

When Teammate address is selected, each team member sends from their own address on your custom domain. For example, if your domain is yourcompany.com: The “from” part of the email uses the teammate’s alias, which is configured on their Profile page.

Display name options

You can choose how the display name (the human-readable part before the email address) appears: Custom display name OFF (default):
Matt from YourCompany <[email protected]>
The display name uses the teammate’s name and your team name. You can change the team name in Team settings. Custom display name ON:
Matt Pattoli <[email protected]>
Each teammate can set their own display name on their Profile page in the dashboard. If they haven’t set one, it falls back to the default format.

Profile configuration

Each team member can configure their email identity on their Profile page (Settings > Profile > Personal Info):

Email alias

The email alias determines the local part of your sending address in teammate mode. For example, an alias of matt means you send as [email protected].
  • When a custom domain is connected, HaloAgents automatically sets your alias to the local part of your account email (e.g., [email protected] → alias matt)
  • You can change your alias at any time — it must be unique within your team
  • The alias is shown next to your connected domain on the Profile page

Display name

When custom display names are enabled by your team admin (in Email Settings), you can set a display name that appears in the “From” field of your emails instead of the default “Name from Team” format.
Your email alias and display name only affect outbound emails when Teammate address mode is enabled in Email Settings. In other modes, the default from address is used for all replies.

What your customers see

Here’s how emails appear in your customer’s inbox depending on the mode:
from:      Matt from YourCompany <[email protected]>
reply-to:  Matt from YourCompany <[email protected]>
In all cases, when the customer replies, the email routes through haloagents-mail.com back to your HaloAgents inbox automatically.
